Who we are
All Jairos Adventure tours and adventures are operated by Jairos Adventure, a company registered and incorporated in the United Republic of Tanzania.

When these terms and conditions apply

- You book a trip directly with us;
- You book a trip through a partner acting as our sales representative.
By booking with us directly or through one of our partners, you agree to be bound by these Terms and Conditions. They set out the rights and responsibilities that apply while booking and taking part in our tours in Tanzania.
Our warranties and representations
We warrant and represent that:
- We hold the necessary licenses and permits required to organize and run our tours in Tanzania;
- Our guides, driver-guides, and consultants have relevant training and experience in their respective fields;
- All information used in our marketing and advertising is true, accurate, and not exaggerated or misrepresented;
- We are a tour operator, and travel arrangements are handled directly by our own team, except accommodation providers and domestic/international air travel, which are subcontracted;
- We do not engage in environmentally harmful practices such as off-road driving in protected areas, dumping waste into natural water sources, or unnecessary use of single-use plastics;
- We operate in accordance with Tanzanian national law and respect human rights;
- We foster a safe, inclusive work environment free from discrimination or forced labor;
- Where possible, we give preference to local, small-scale, or underserved suppliers who demonstrate a commitment to sustainability and community well-being.
We aim to operate sustainably and encourage responsible, low-impact tourism to help preserve Tanzania's natural heritage.
Treatment of your personal information
We require certain personal information to arrange your trip, including your full name, age, nationality, passport details, dietary needs, and relevant medical information.
Parts of this information may be shared with the administration of Tanzania's wildlife areas for entry permit processing, and with accommodation providers to ensure a comfortable stay.
We aim to operate sustainably and encourage responsible, low-impact tourism to help preserve Tanzania's natural heritage.

Booking and payment process
The booking process begins with your inquiry by email, phone, or WhatsApp. A personal travel consultant will be assigned to manage your communications and arrange the details of your tour. Once details are agreed, an invoice will be issued, and a deposit will confirm your booking.
Your trip is confirmed once the deposit reaches our account; all payments are made to the company name account, which is Jairos Adventure only. Your consultant will notify you immediately. Full payment must be made 14 days before your tour start date unless otherwise agreed with your consultant in writing. All tour packages must be fully prepaid.
All transaction fees (bank charges, wire transfer commissions, etc.) are the Client's responsibility. A 5% surcharge applies to credit card payments. Any shortfall in payment received will be collected upon your arrival in Tanzania.
Age restrictions for mountain expeditions
For safety reasons, based on medical protocols and altitude risk assessment, Jairos Adventure accepts participants aged 12–70 for Mount Kilimanjaro and Mount Meru climbs. This applies regardless of prior experience, fitness level, or accompaniment by family or private medical staff. We reserve the right to decline or cancel participation if age requirements are not met.
Safaris and day excursions
No age restrictions apply to safaris, wildlife tours, cultural visits, or day excursions, provided minors are accompanied by a parent, guardian, or responsible adult. Specific activities may be subject to third-party or national park rules communicated in advance.
Participation of minors
- You must be 18 or older to book a trip with Jairos Adventure. Bookings for minors must be made by a parent, guardian, or legal custodian, who accepts these Terms on the minor's behalf.
- Minors must be accompanied and supervised by an adult Client at all times; the accompanying adult is responsible for the minor's conduct.
- We do not provide childcare or chaperoning services.
- The accompanying adult is responsible for securing any permits or approvals needed for the minor's entry into Tanzania.
Third-party bookings (tour leaders, travel agents, etc.)
If you book on behalf of a group, you are the designated contact for all participants and are responsible for:
- Informing participants of these Terms and Conditions and confirming their consent;
- Making timely and accurate payments;
- Passing along all relevant tour information, including any itinerary changes;
- Ensuring the accuracy of information provided about each participant.
If you cannot accept this responsibility, each participant should book individually.

Prices
Once your booking is confirmed, prices will not change except where the Tanzanian government increases park fees, taxes, or other tourism-related charges. In that case, you may choose to cancel for a refund per our cancellation policy, or pay the difference.
Changes to the itinerary
By the Client: Changes that create no extra cost to us are free; any additional costs must be covered by you. If you leave the tour early, you are responsible for related extra costs. Missed services are non-refundable.
By the Company: We may need to adjust your itinerary due to circumstances such as poor weather or route inaccessibility. We will notify you as promptly as possible.
Third parties: We are not liable for delays, disruption, or loss outside our reasonable control, including third-party actions, flight delays, or force majeure events. Related extra costs are the Client's or their insurer's responsibility.
Changes to travel dates
If you wish to change your travel dates after payment, notify us at least 60 days before your original start date. New dates must fall within one year of the original. Tanzanian domestic carriers generally do not reschedule flights, and hotels/lodges may apply penalties or seasonal price differences; any extra cost is your responsibility.
Cancellations
By the Client: Lodges and airlines charge cancellation penalties. The following fees are deducted from your deposit:
- [$X] per person non-refundable regardless of cancellation date, though transferable to new dates;
- 10% if cancelled more than 90 days before the tour;
- 30% if cancelled 60–89 days before;
- 60% if cancelled 30–59 days before;
- 80% if cancelled 8–29 days before;
- No refund if cancelled 0–7 days before.
If actual penalties charged by lodges/airlines exceed these percentages, the non-refundable amount will be increased accordingly. Bank fees for refunds are deducted from the amount returned.
We recommend travel insurance with cancellation coverage for all unforeseen circumstances.
By us: If we cancel your tour, you will receive a 100% refund of payments made.
Travel documents, visa, and entry to Tanzania
By the Client: Lodges and airlines charge cancellation penalties. The following fees are deducted from your deposit:

Accommodation
Hotels: Group tour prices include shared double/twin accommodation. Solo travelers will be matched with a same-sex roommate unless a single room is requested (extra charge applies). Private tour accommodation is arranged individually with your consultant. If a planned hotel is unavailable, we will offer an alternative before confirming your booking.
Tented accommodation on Kilimanjaro: Climbing packages include shared tents (2 travelers per tent), with solo travelers matched by same-sex pairing unless a single supplement is requested. Single tented accommodation is not available on the Marangu route due to park regulations.
Fitness and medical information
It is your responsibility to assess your fitness for a climb or safari; we recommend seeking professional medical advice if unsure. We may request a medical form, potentially signed by a licensed practitioner, for pre-existing conditions that could affect safety. Failure to provide this may result in cancellation with applicable fees.
We may decline or cancel participation, without refund, if your medical condition is found to endanger you or others, or if medical information provided is false or incomplete.
Special dietary or medical needs must be communicated at least 30 days before arrival; we offer vegetarian, vegan, gluten-free, and halal options where possible, though we cannot guarantee all special requirements and no refunds apply if we're unable to accommodate them.
Travel insurance
Travel insurance is mandatory. We may decline participation without refund if proof of adequate insurance is not provided. Insurance is not included in our packages and should cover emergency medical costs, evacuation, repatriation, and cancellation. Kilimanjaro climbers must have coverage for high-altitude trekking (up to 6,000m) and helicopter evacuation.
Vaccinations
We provide general, non-medical guidance on vaccinations for travel to Tanzania. Please consult a licensed physician for personalized medical advice.
Authority of our guides
Following your guide's safety instructions is mandatory. The chief guide's decisions on expedition matters, including whether a participant must descend for safety reasons, are final.
Assumption of risk
You acknowledge that travel to remote regions of Tanzania carries inherent risks (wildlife, altitude, limited medical infrastructure) and that you accept these risks. You release Jairos Adventure from claims arising from losses, injury, or death resulting from these inherent risks.
Liability for damaged or destroyed property
You will be charged for willful damage or destruction of company property (tents, vehicles, hired gear, hotel furniture, etc.). Indemnification must be settled in Tanzania before departure.
Liability for accommodation providers and air carriers
We carefully select our partners but cannot control their performance and are not liable for issues arising from third-party providers. Hotel/lodge terms and airline Conditions of Carriage govern those respective relationships.
Money for regular travel expenses
You should carry sufficient funds for incidentals (souvenirs, tips, meals not included, drinks, etc.). We are not responsible for your failure to budget for these.
Equipment and gear for Kilimanjaro climbs
Group camping equipment is included in climbing packages; personal gear is not. Equipment hire is available for an extra fee. We may request to inspect personal gear before departure.
Your luggage and valuables
We are not responsible for luggage lost, damaged, or delayed by airlines or other transport providers. If your Kilimanjaro gear is lost/delayed, we will provide replacement items from our hire shop free of charge for items you had packed; other items are chargeable. Luggage delivery fees from the airport apply if bags arrive after you do.
You are responsible for safeguarding your own valuables. We can store valuables in our secured, monitored company safe upon request, and will assume responsibility for items placed in our care this way.
Images and marketing
By joining our tours, you agree that photos/videos taken during the trip (which may include your image) may be used by our partners and us for marketing purposes without royalty payment. Please inform our staff if you'd prefer not to be photographed or filmed.
Force Majeure
We are not liable for events beyond our reasonable control, including natural disasters, war, mechanical breakdowns, fire, civil unrest, strikes, government actions, extreme weather, or other unforeseeable circumstances.
Complaints
If you are unhappy with any aspect of your trip, please contact your designated tour consultant first; we aim to respond within 12 or 24 hours on working days with a proposed solution. Unresolved matters can be escalated to our senior team, who will also respond within 48 hours.
Governing law
These Terms and Conditions are governed by the laws of Tanzania.
