- When These Terms and Conditions Apply
These Terms and Conditions set the rules for the relationship between you (the Client) and Jairos Adventure (referred to as “the Company”). They apply in the following cases:
- When you book a trip directly with us.
- When you book through one of our partners acting as our sales agents.
- When booking through travel agencies or marketplaces linked to us.
By booking in any of these ways, both you and the Company agree to follow these Terms and Conditions.
These terms outline your rights and responsibilities when booking and taking part in our tours in Tanzania.
- Our Commitments and Guarantees
We guarantee that:
- We have all licenses and permits required to organize Kilimanjaro climbs and wildlife safaris in Tanzania.
- We have years of experience and have arranged trips for over 100+ visitors.
- Our Kilimanjaro guides, safari driver-guides, and consultants are professionally trained.
- Our marketing and tour descriptions are honest and accurate.
- We are a tour operator, not a travel agency. Except for hotel stays and flights, we handle everything ourselves.
- We are environmentally responsible and follow strict “leave-no-trace” policies to protect Tanzania’s nature.
- Handling of Your Personal Information
To organize your trip, we require some personal details, including:
- Full name, age, nationality, passport details
- Dietary needs and medical information
Some of this information will be shared with Tanzania’s wildlife authorities (for permits) and hotels (for a comfortable stay).

- Booking & Payment Process
- To book, email or call us. A personal travel consultant will guide you through the process.
- Once details are confirmed, we’ll send you an invoice for the deposit.
- Your trip is confirmed once the deposit reaches our account.
- Full payment is due 10 days before departure unless otherwise agreed before.
- All bookings must be fully prepaid, as we use these funds for hotels, permits, and tour costs.
- Late or missing payments may result in cancellation and loss of your deposit.
Payment Fees:
- You must cover any bank fees or transaction charges.
- Wire transfers: You pay both sender & receiver fees.
- Credit card payments: A 3.5% surcharge applies.
- If there’s a missing amount, we’ll collect it when you arrive in Tanzania.
- Booking for children (Under 18 Years Old)
- Only adults (18+) can book a trip.
- Parents/guardians must book for children and agree to these Terms on their behalf.
- Children must be supervised by an adult throughout the trip.
- We do not offer childcare or chaperone services.
- The guardian is responsible for obtaining travel permits for minors.
- Group Bookings by Travel Agents or Tour Leaders
If you are booking on behalf of others (e.g., a travel agent or tour leader), you will be responsible for:
- Ensuring all travelers agree to these terms.
- Making timely and correct payments.
- Keeping all travelers informed about itinerary changes or tour details.
- Providing accurate personal information for all participants.
If you cannot accept these responsibilities, each traveler should book with us individually.
- Pricing
Once your booking is confirmed, the price remains fixed unless the Tanzanian government increases park fees, taxes, or other tourism-related charges. In such cases, we will provide you with an official notice. You will have two options:
- Cancel your tour and receive a refund according to our cancellation policy.
- Accept the price adjustment and pay the difference.
- Itinerary Changes
Changes by the Client
- You may modify your itinerary at no extra charge, provided it does not increase costs on our end. Any additional costs must be covered by you.
- If you choose to leave the tour early, whether voluntarily or involuntarily, you are responsible for any additional costs, such as transportation or accommodation.
- No refunds will be issued for missed services, activities, or meals due to personal decisions.
Changes by the Company
- While we strive to follow the planned itinerary, unexpected circumstances (e.g., weather conditions) may require adjustments. In such cases, we will inform you as soon as possible.
Third-Party Changes
- We are not responsible for disruptions beyond our control, such as flight delays or unforeseen third-party actions.
- Any additional expenses resulting from such disruptions, like extra accommodation or transport, will be your responsibility or that of your travel insurance.
- Travel Date Changes
- If you need to change your travel dates after payment, you must notify us at least 30 days before your original departure date.
- New travel dates must be within one year of the original dates.
- Tanzanian domestic airlines do not allow rescheduling, and hotels may charge penalties or adjust prices based on availability and season. Any additional costs will be your responsibility.
- Cancellations
Cancellation by the Client
Lodges and airlines impose penalties for cancellations. The following fees will apply to your deposit:
- $100 per person is non-refundable but transferable to new dates.
- 10% fee if canceled more than 90 days before departure.
- 30% fee if canceled 60–89 days before departure.
- 60% fee if canceled 30–59 days before departure.
- 80% fee if canceled 8–29 days before departure.
- No refund if canceled within 7 days of departure.
If the penalties charged by lodges and airlines exceed these percentages, the non-refundable amount will be adjusted accordingly. Bank charges for refunds will also be deducted.
If you reschedule instead of canceling, lodges and airlines may waive penalties. However, this is at their discretion.
To avoid financial loss due to unforeseen events like illness or flight cancellations, we strongly recommend obtaining travel insurance. We will provide the necessary documentation for insurance claims if needed.
Cancellation by the Company
If we cancel your tour for any reason, you will receive a full refund of all payments made.
- Travel Documents, Visa, and Entry to Tanzania
- Ensure that your passport is valid for at least six months beyond your arrival in Tanzania and has at least two blank pages.
- You must obtain a Tanzanian visa. The easiest way to apply is through the Tanzania Immigration Department’s official website.
- While we offer visa-related tips, we advise you to contact the Tanzanian Embassy for the most accurate and up-to-date information. We are not responsible for visa-related issues.
- You are responsible for all visa and entry-related expenses.
- If you are denied entry to Tanzania or any transit country, we are not liable, and no refunds or rescheduling will be provided, as all park fees and other expenses will already have been paid.
- Accommodation
Hotel Stays
For our open group departures, accommodation is provided on a shared basis in double or twin rooms with fellow travelers. Solo travelers will be paired with a same-sex roommate unless they request a private room at the time of booking, which incurs an additional charge.
For private tours, accommodation arrangements are customized in consultation with our team.
Our safari and Kilimanjaro climbing packages include hotel stays as specified in each travel itinerary on our website. If the listed hotels are fully booked, we will inform you and propose a suitable alternative before finalizing you’re booking and accepting payment.
Tented Accommodation on Mount Kilimanjaro
Our Kilimanjaro trekking packages include shared tent accommodation, with two travelers per tent. Solo travelers will be matched with a same-sex partner unless they prefer a private tent, which requires an additional fee. However, single tent options are unavailable on the Marangu Route and Mt. Meru due to park regulations.
- Fitness and Medical Requirements
It is your responsibility to assess whether you are physically and medically fit for a Kilimanjaro climb or a safari. Our team can provide general guidance upon request, but we strongly advise consulting a medical professional if you have any concerns.
We may request medical details and a completed medical form before your trip. If you have a pre-existing condition that could affect your ability to travel to remote or high-altitude areas, we may require a licensed medical professional to sign the form. Failure to submit a completed medical form may lead to trip cancellation, subject to the standard cancellation fees.
If we determine that a medical condition makes it unsafe for you to participate, we reserve the right to deny your booking. This applies to physical or mental health issues that may pose a risk to yourself or others.
All medical information provided to us will be handled in accordance with our privacy policy.
Your participation may be canceled without a refund under the following circumstances:
- If false, inaccurate, or incomplete medical information is provided.
- If you’re medical condition worsens during the trip, endangering yourself or others.
Any costs arising from a cancellation due to medical reasons will be your responsibility.
If you have special medical or dietary needs, you must notify us at least 30 days before your arrival in Tanzania. We will do our best to accommodate your requests, including providing vegetarian, vegan, gluten-free, and halal meal options. However, we cannot guarantee other specific dietary accommodations, and no refunds will be issued for unmet special requests.
Additionally, you acknowledge that certain services or facilities available in your home country may not be accessible in Tanzania.
- Travel Insurance
Travel insurance is mandatory for all participants. Failure to provide proof of adequate coverage may result in disqualification from the trip without a refund.
Our travel packages do not include insurance by default, but you may purchase it as an add-on. Your insurance policy should cover:
- Emergency medical expenses, evacuation, and repatriation
- Trip cancellation and curtailment
- Other reasonable travel-related risks
For Kilimanjaro climbers, insurance must include coverage for high-altitude trekking (up to 6,000 meters / 19,858 feet) and helicopter evacuation.
It is your responsibility to ensure your insurance provides sufficient protection and that your provider is informed of your travel plans and potential risks.
If an insurance claim arises, you must follow your insurer’s procedures for reimbursement. While we will assist where possible, we are not responsible for the outcome of any claim.
- Vaccinations
We offer general, non-medical advice regarding vaccinations and immunizations that may be required or recommended for travel to Tanzania. However, it is essential to consult a licensed medical professional to determine any specific health precautions you may need before your trip.
- Authority of Our Guides
For your safety, it is crucial to follow all instructions and regulations set by our guides. The chief guide’s decisions regarding expedition arrangements, team management, itinerary, objectives, and any other matters related to your Kilimanjaro trek are final.
If the chief guide determines that your physical condition or actions pose a potential risk to yourself or others, they may require you to descend. In such cases, an assistant guide and porters will accompany you to ensure a safe return.
- Acceptance of Travel Risks
You acknowledge that traveling with us may take you to remote areas such as national parks and rural regions, where medical assistance may be limited or unavailable.
Additionally, some of our adventures involve inherent risks, including encounters with wildlife and high-altitude trekking. By participating, you confirm that you have carefully considered these risks and accept full responsibility for them.
You release us from any claims related to loss, damage, injury, or death resulting from the risks associated with your travel in Tanzania.
- Responsibility for Damaged or Destroyed Property
If you intentionally damage or destroy any of our property, such as Kilimanjaro tents, safari vehicles, rented expedition gear, or hotel furnishings, you will be held financially responsible.
Any compensation for such damages must be settled in Tanzania before your departure.
- Our Liability for Accommodation Providers and Airlines
Certain parts of your tour, such as accommodations and local flights, are arranged through third-party providers. While we carefully select our partners, we do not have control over their services and, therefore, cannot be held responsible for your experience with them.
When staying in hotels and lodges, their terms and conditions apply. Similarly, airlines operate under their Conditions of Carriage and relevant aviation regulations.
As a result, we are not liable for any issues arising from the actions or services of these third parties.
- Travel Expenses
You are responsible for ensuring you have sufficient funds for personal and incidental expenses such as souvenirs, tips, non-included meals, and alcoholic beverages. We are not responsible for covering these costs under any circumstances.
- Equipment and Gear for Kilimanjaro Climbs
While our Kilimanjaro trekking packages include group camping equipment, personal clothing and gear for the climb are not provided. You should bring the necessary personal equipment for your trek. Our consultants will guide you on what you need.
If you do not have the required gear, you may rent it from us. Our equipment is regularly updated every six months, but rental fees are not included in your tour price and will be charged separately.
Before your Kilimanjaro or Mt. Meru trek begins, our wildlife consultant may inspect your personal equipment to ensure you are properly prepared.
- Luggage and Valuables
We are not responsible for any luggage that is lost, damaged, or delayed by airlines or transportation providers outside our company.
Additionally, we are not responsible for communicating with the airline about your lost or delayed luggage or arranging its transportation to your hotel. If your luggage arrives later than you, you will need to pay a delivery fee for its transport from Kilimanjaro International Airport to your accommodation.
You are responsible for keeping your valuables, such as money, electronics, jewelry, and personal belongings, secure during your tour. We are not liable for any lost, stolen, or damaged property.
If needed, you can request that our managers store your valuables or luggage for safekeeping. In this case, your items will be locked in our company safe, which is monitored by security cameras and an alarm system. We will take full responsibility for any belongings entrusted to us.
- Images and Marketing
By joining our tours, you acknowledge that our staff and other travelers may take photographs and videos during the trip, which could include your image. You agree that our partners and we may use these images for marketing, promotion, and advertising without any compensation.
If you do not wish to be photographed or recorded, please inform our staff in advance.
- Force Majeure
We are not liable for any disruptions caused by unforeseen circumstances beyond our control. These include, but are not limited to, natural disasters, war, mechanical failures, fires, civil unrest, labor strikes, government actions, political instability, extreme weather, and other unexpected events.
- Complaints
We are committed to providing exceptional service and always aim to exceed travelers’ expectations. However, if you are dissatisfied with any aspect of your tour, please contact your designated tour manager. We will review your complaint and respond within 48 hours with a proposed solution.
If the issue is not resolved to your satisfaction, you may escalate your concern to our senior team. We take all feedback seriously and will conduct a thorough review. Expect a response from our senior team within 48 hours.
- Governing Law
All disputes will be governed by the laws of the United Republic of Tanzania.
